CHALLENGE
Xpo Group was facing understaffing and was looking for an Exhibition Manager who could be immediately deployed to manage the organisation of edition 2 of Motominds. The event consists of an exhibition, outdoor motorbike shows, entertainment for young and old, and road trials accompanied by professionals.
SOLUTION
We were immediately able to provide two members of our organisation and communications team. Both with years of experience in fair organisation and therefore instantly deployable.
Their role would be to support and coordinate the event and its suppliers in cooperation with the various Xpo Group team members on the one hand, and to creatively and critically review media planning on the other.
1. Marketing campaign
A successful exhibition stands with a good marketing campaign. We analysed the past edition and worked out a more extensive marketing strategy in collaboration with the Kortrijk Xpo marketing team. An advertising campaign with advertisements (online and print), banners, posters, flyers and social media posts for visitor recruitment was rolled out. The website was also updated after a thorough analysis.
2. Activity programme
Besides a good marketing campaign, experience is an important factor. An extensive programme of varied and attractive activities was put together, quotes requested, confirmed and followed up on site.
3. Production
Efficiently managing suppliers is a must as they help shape the fair. We discuss the things they need to provide (stand builder, AV, security, hospitality, catering, signage, visitor registration ...) , are their SPOC in the ongoing preparations and provide them with the necessary information.
4. General coordination
We made sure that everyone involved, whether an exhibitor, partner or supplier, knew what was expected of them to ensure the smooth running of the fair.
Flexibility
When organising an event, flexibility is required. Thus, in addition to the preparations for Motominds, we also managed the further follow-up of Ink-town, an exhibition that took place at the same time as Motominds.
