The Emergency department of UZ Brussels

CHALLENGE

Our client University Hospital Brussels and its Emergency Department are launching an interhospital transport vehicle of the future. The ambulance is equipped with high-tech tools and telemedicine in a modular vehicle that can be tailored to patients' specific needs. The ambulance, developed with several partners, is the first of its kind in Europe.

The goal? Providing the best, most advanced patient care outside the walls of the UZ Brussel hospital during the transport from and to other hospitals.

To introduce the vehicle and its operation, a launch event was organised at a specific location. The day had to be divided into 3 key moments: a press conference, a visit for internal stakeholders and an official VIP reveal for external stakeholders. As the UZ Brussel has no experience in organising events, our help was very welcome. The request arrived a month before the event. 

OUR SERVICES

The first thing on the agenda was to come up with a creative concept tailored to the client's needs and limited budget. How are we going to reveal the ambulance? What venue will we have available? Where will the partner booths, catering, ambulance be located? What decoration can we provide? How do we ensure the smooth running of the 3 moments? 

The available venue on campus was a shell without electricity, heating, lighting, kitchen or toilets. A challenge we gladly accepted. We contacted our loyal suppliers (AV, furniture, decoration, hospitality, etc.) who were only too happy to help us organise this launch event.

The decoration

- As ambient lighting, we went for uplighters. Ideal to provide against the many columns in the hall. Moreover, they work on wireless batteries, very handy in this situation.

- The partner stands came along the window to ensure a smooth flow. 

- The ambulance could be revealed in different ways. We went for a black box with a drop down curtain. We created extra suspense with rotating spotlights and exciting music. 

- We arranged the signage from the car park to the auditorium using beach flags. 

- With black curtains we carefully marked off the catering area and cloakroom so that the guests had the feeling of entering a cosy space. 

Flexibility 

When organising an event, flexibility and the ability to switch quickly are important factors. For example, we found out during set-up that carpet had been removed unexpectedly. Thanks to our years of experience, we had this taken care of for the client in no time.
